The entire process of scheduling candidates for interviews can be tedious. From confirming schedules with interviewers and candidates to following up and rescheduling, it can take quite an amount of time and effort on top of other recruitment activities you're probably already doing.
That's why we built a Scheduler in every Candidate List. Click on the "For Interview" state of any of your Candidate Lists to view your Scheduler.
Here's what you can do in a state that has a built-in Scheduler:
- Schedule candidates for interview
- View existing interviews scheduled
- Identify which interviews have been confirmed by candidates
- Invite other teammates/interviewers to interview schedules
- Reschedule candidate interviews
The Scheduler has two sections: the Candidate List and the Calendar.
The Candidate List is where you can find all the candidates you marked “For Interview.” The Candidate List is automatically sorted in the following order: Interview Time Lapsed, Interview Today, No Interview Yet, Going to Interview, and Not Going to Interview. Cards are gray when their interview time has lapsed.
Hovering over the Candidate List cards shows actions you can do with the Candidate: Schedule an interview, send a quick message, and move them to other states like Offered or Hired.
To schedule, a candidate for an interview, click “Schedule” on their candidate card.
Fill in the necessary details about the interview:
Interview Date
Candidates are notified through email and SMS about their confirmed interview schedule, three days before the interview, one day before, and on the day itself.
Interview Address
By default, the address will be your company address as indicated in your company settings. If the location of the interview is different from your company address, you can change this.
Recruiter Contact
A contact number from you is required to ensure the candidate is able to reach you immediately before the interview. Your contact number is made available to the candidate only once they have confirmed the interview invite.
Interview Start & End Times
Entering the specific start and end times helps set expectations with the candidate. If there will be multiple interview sessions and interviewers, you can click “Add Interview time slots.”
Interviewers
Notify other interviewers that they have an upcoming interview scheduled by entering their Kalibrr account names or emails in the “Interviewers” box.
Add a message for the candidate to inform them of anything else they need to prepare for their interview. A personalized message can also go a long way in exciting a candidate for your interview, ensuring they show up to your meeting!
