Message templates allow you to be more efficient in engaging with your candidates. Building rapport with your candidates can be important in securing talent for your open positions.
Message templates are most useful in repetitive parts of your recruitment process such as:
- Inviting candidates to apply to your jobs
- Scheduling candidates for interview
- Notifying candidates that their application has been received
There are various ways to use message templates, it all depends on your recruitment processes. Anytime you are creating a message for a candidate, you can choose from a template you've already created.
To create a message template, click on Message templates found above any textbox you are currently composing a message in. Click on “Manage Message Templates”.
In the Message Templates section, you will find all existing message templates listed on the left side of your screen.
To create a new message template, click “Create a new template”.
Enter your template name. Some templates might be specific to a job so it might be helpful to include the job position the template is made for in the template name.
Making use of message triggers can enable you to be more efficient at sending messages to your applicants. Assigning a message trigger to a message template will enable the automated sending of that template to a candidate if the message trigger’s conditions are fulfilled.
Here is an example:
Your recruitment team might want to send an acknowledgment email to every candidate that applies to your company. Here’s an example of how you might compose that message template using the message trigger: Candidate applies for a job.
A message trigger can only apply to one job at a time. If you would like to create message templates with triggers for multiple jobs, you must create one template per job.
To give your message templates that personalized touch, click on the tag icon in the formatting section of the message text box. You can choose from placeholders that will fill in automatically with the indicated information once the message template is sent.
For example, here’s how you might use the “Candidate First Name” placeholder:
Dear [Candidate First Name],
Thank you for applying to Kalibrr! We have received your profile and will be reviewing it as soon as possible.
When this message template is sent to a candidate, the placeholder will include the candidate’s first name automatically:
Dear Faye,
Thank you for applying to Kalibrr! We have received your profile and will be reviewing it as soon as possible.
Once you are done drafting your template, you can send it to yourself for review. When you’re satisfied, click “save template” at the very bottom of your screen. Your template will now be available for use by all recruiters on your team.
